Apps and your account

Which app should I download?

If you run events and staff, download FlowShift Manager. If you work shifts, download FlowShift Staff. Both apps are on the App Store and Google Play and connect to the same platform. Staff join a manager's team with an invite link or code.

I forgot my password. How do I get back in?

If you signed in with Google, Apple or your phone number, there is no password: sign in the same way again. Otherwise, email us from the address on your account and we will help you get back in.

I work shifts. How do I accept or decline one?

In FlowShift Staff, tap the shift card to see the rate, estimated pay, uniform and directions, then tap Accept or Decline. Your manager sees your answer right away.

How do I delete my account?

Open the app, go to Settings and tap Delete Account, or ask us by email. The account deletion page lists what is removed and how long it takes.

Setting up your account

What do I need to do to set up my account?

Everyone answers three questions (your name, what to call the work, how you work), updates their profile and picks a currency. Then the path branches: an agency adds its company, a first client, a role and a rate (five steps); a solo owner sets defaults, a role and a rate (four steps). It takes about six minutes either way.

Should I choose agency or my own business?

Pick “I send staff to other businesses’ jobs” if you work for different clients and venues, like a staffing agency with many clients. Pick “My jobs are for my own business” if you staff your own place, like a single restaurant. This one answer decides whether setup has four steps or five.

Do I enter my name or my company's name first?

Your own name. It goes on every job you post so staff and clients know who booked them. The business name is asked for later.

Why does my staff see “Shifts” when I chose “Jobs”?

The word you choose (jobs, shifts or events) only changes the labels on your own device. It is not an account setting and it does not reach your staff: the staff app has its own picker, which starts on Shifts. You can change yours any time in Settings.

How do I set my currency and whether I pay by the hour, day or shift?

Right after step 1 there is an unnumbered card for currency and pay basis. Every rate, tip and total uses that currency unless a rate says otherwise. Then choose per hour, per day, or a flat amount per shift.

What is the difference between my company and a client?

Your company is your own agency’s name, the one staff see on every job. A client is the business you staff for, such as an events company. Agencies keep the two as separate lists; adding your first client is step 3.

What should I put in my business defaults?

Only the business name is required, and it is you, not whoever books you. Fill in venue, usual times or crew only if they are the same on every job; whatever you leave blank, FlowShift asks for on each job. Turn on “Use by default” or the defaults are never applied.

What rate do I enter for a role?

Enter what staff earn, not what you bill the client, in the currency and pay basis you chose. After that the rate fills itself in on every job. You can change it later in Catalog, Tariffs; approved jobs keep the old rate.

Can I choose which screen the app opens on?

Yes. Drafts shows jobs you are still preparing, not yet visible to staff. Posted shows live jobs your staff can see and accept. You can change it any time in Settings.

Creating and posting jobs

How do I create a job?

Type the same message you would have sent to the group chat and the assistant turns it into a draft job. You can also fill in the form yourself. A job is a client, a day, a venue and a list of slots.

What happens when all the slots for a role are filled?

The count is the capacity: four bartenders means four people can say yes, and the fourth yes closes the role by itself. Raise the count later and the role reopens.

How do I choose who sees a job?

When you post, pick one team, every team, or named people. Nothing leaves your hands until you tap Post.

What is the difference between broadcast, invite and assign?

Broadcast lets your teams claim their own slot and fills fastest. Invite shows the job only to people you name, each with a role. Assign places a person directly without waiting for a yes. A share link is none of these: it shows the job read-only to someone outside the app.

What do the job statuses mean?

You move a job from Draft to Posted. After that the clock does the rest: Full when the last slot is taken, Live once the start time passes, Review when the shift ends, and Done when hours are approved. A job nobody took ends as empty, never as done.

How do I get staff to accept jobs faster?

Give each job a real venue address, a rate on every role, the uniform and call time, and post it early. A job missing those details still posts, but the questions come back to you as messages.

Your staff and teams

How do I invite my staff?

Share your team’s invite link, or show the QR code in person. One link works for any number of people, and the message includes the store links for anyone who does not have the app yet.

How does a staff member join my team?

They tap your link or enter the invite code in the FlowShift Staff app. Their request appears on your screen and you approve it. You never create accounts for them.

How many teams should I create?

Most companies need exactly one to start. A team is who you can send work to; split it later only if, say, your weekend crew is really different from your weekday crew.

Can I keep notes, groups and ratings on each staff member?

Yes. Each person has groups, skills, preferences, venue history, a rating and a note. Put someone in a group such as VIP Team once, and future jobs can reach that group directly.

What does my staff see when I post a job?

A card with the role, venue, address, day and hours. Opening it shows the rate, estimated pay, uniform and directions, with an Accept button.

How do I see who has arrived on the day?

The crew screen counts who accepted, who clocked in, who is on the way and who has not answered. From there you can ping the crew, clock everyone in, or message the whole team.

Positions and billing

What is a position?

One position is one person you put in front of staff. A job with nine slots uses nine positions, not one.

Do drafts or cancelled jobs use positions?

Drafts are free. Unpublishing or deleting a job gives its positions back. A posted job that nobody takes still uses them, and editing a job only costs the difference (six servers up to eight costs two).

Do unused positions expire?

Positions stay usable for about three months after they arrive, and the oldest are always used first, so a quiet month cannot eat into later ones.

Hours and closing out

How do I approve hours?

After the job, upload the sign-in sheet the client signed, then approve the whole crew in one tap. Approving locks each rate, so later price changes do not rewrite past costs.
